Accounting

Online accounting software

Invoicing and bookkeeping in one administration, built for freelancers and small businesses rather than finance departments. Costs, VAT, outstanding invoices and profit, all current because they update as you work.

4.7/5 average scoreFree plan · 14-day trial · No credit card
The journal entry Invoice Office writes when an invoice is finalised, showing the debit to accounts receivable against revenue and VAT payable, balanced to the same total

What it covers

The whole picture, not half of it

Six areas make up the accounting side, and this is what each of them does.

Sales and costs in one ledger
Invoices going out and expenses coming in land in the same administration, so your position is a fact you can look up rather than a figure you work out at the end of the quarter.
Costs and receipts registered
Register supplier invoices and receipts against cost categories, split across several where one document needs it, and every deductible cost is where it should be.
Bank statements matched
Import the statement and match transaction lines to the invoices and purchases they settle. Reconciliation, categorisation and bookkeeping all start from that one step.
VAT that adds itself up
Tax codes carry the rate and the treatment, so VAT is calculated on every document as you go. The return is then a report you run, not a reconstruction you attempt.
Profit and loss on demand
Filter by date, drill into the ledger account behind any total, see revenue per income category, and export to PDF, Excel or CSV when someone needs it in writing.
A tax return your accountant accepts
Accountant-ready reports covering revenue and deductible expenses, traceable down to the individual document behind each number.

Why online

Bookkeeping that is already done

The argument for doing your books in the same place you invoice is not really about features. It is that the work stops being a separate job you put off.

  • Everything is one administration

Costs, investments, outstanding invoices, quotes, VAT and your own drawings all sit in the same place. The value is not any single screen — it is never having to reconcile two systems that disagree.

  • It is online, so it is current

There is nothing to install, nothing to back up yourself and no version sitting on one laptop. Open it anywhere and the numbers are the same numbers your accountant is looking at.

  • Bookkeeping happens as you work

The invoice you sent and the receipt you registered are the bookkeeping. There is no separate evening of data entry, because the entry already happened when the work did.

  • You can start free

The free plan covers up to three documents a month with no credit card and no obligation, which is enough to find out whether it fits before anyone asks you for money.

How it works

Three habits, and the books keep themselves

  1. Step 1Send your invoices from it

Every invoice you raise is revenue recorded. Start here and the sales side of your books fills itself in as you trade.

  2. Step 2Register what you spend

Drop receipts and supplier invoices in against a cost category, and import your bank statement to match what actually moved.

  3. Step 3Run the reports

Profit and loss whenever you want it, a VAT return when it is due, both exportable for your accountant or your bank.

Accounting questions, answered

Is Invoice Office free accounting software?
There is a free plan covering up to three documents a month, with no credit card and no obligation. Paid plans add unlimited documents and more features, and every paid plan has a 14-day free trial.
What does the accounting side actually cover?
Sales through your invoices and quotes; costs through registered receipts and supplier invoices; bank statements matched against them; VAT calculated by tax code; and profit and loss plus tax return reporting on top.
Do I still need an accountant?
That depends on your business, and we would not tell you otherwise. What the software does is hand your accountant clean, complete records instead of a folder of receipts — and you can give them read-only guest access free of charge.
Can I do my VAT return from it?
You can run a tax return report covering revenue and deductible expenses, traceable to the documents behind it. VAT itself is calculated as you go, from the tax code on each line.
Can I import my bank statements?
Yes. Import the statement and match its transaction lines to the invoices and purchases they settle, then register the payments from there.
Is it suitable for a freelancer or a small business?
That is who it is built for — freelancers and small businesses who want their invoicing and their books in one place rather than a full accounting package aimed at a finance department.
Where is my accounting data stored?
Within the European Union, with transfer outside the EU prohibited under our processing terms. See our security page for how the data is protected.
