Integrating your Salesforce account with Invoice Office

Why connecting Salesforce to your invoicing is worth doing, what the two systems each own, and where to find the step-by-step setup in the help desk.

Our Salesforce API connector links Salesforce and Invoice Office, so the customers your sales team works with in Salesforce become customers in Invoice Office without anyone retyping them.

Salesforce holds the pipeline: accounts, opportunities and everything your sales team knows about a customer. Invoice Office holds what happened next — the invoice, the VAT, the payment. Connecting them means neither side has to guess about the other.

What each system owns

  • Salesforce owns the relationship and the pipeline: who the customer is, what stage the deal is at, who spoke to them last.
  • Invoice Office owns the money: the documents raised, the tax treatment, what has been paid and what is overdue.

The connector is the bridge between them, so a closed deal does not have to be re-entered by hand to become an invoice.

Why it is worth connecting

  • No double entry. You enter the data once and the connector does the rest, instead of keying the same company into two applications and watching the two copies slowly diverge.
  • Fewer errors. Taking the human step out removes the transcription mistakes that come with it — the invoice details come from the record rather than from somebody’s notes.
  • Sales can see payment status without asking finance, which is usually the question behind “have they paid yet?”
  • Cleaner reporting, since revenue can be traced back to the opportunity it came from.

And once a customer is in Invoice Office, your sales team can raise invoices, quotes and the other document types against them, using the full document design system rather than whatever their CRM can print.

What comes across

The sync runs from Salesforce into Invoice Office: accounts arrive as customers, and contacts as the contacts on those customers, along with company details such as the billing address, phone, industry and website. It runs on a schedule rather than instantly, so allow a little time between a record appearing in Salesforce and showing up here.

Setting it up

In short: go to Settings → Integration connectors, open Salesforce, and fill in the four credentials from your Salesforce connected app — Client Id, Client secret, Username and Password. Save, then switch the connector on with the toggle. A connector that is filled in but left off does not run, which is the most common reason nothing arrives.
